What Should I do First?
Always secure your church and Banquet Hall or Wedding Venue first. If you plan on your ceremony being
held at the banquet hall venue, the coordination of the ceremony will be handled by the facility.

Who will you be meeting with at the Banquet Hall.
Generally, you will be meeting with the Event Manager or Facility Coordinator of the venue. They will
take you on a tour of the facility as well as provide you with detailed information in regards to the
packages they can provide for your wedding reception.

What should you be looking for in the site inspection.
Location: How far will your guests be traveling to reach the venue?
Parking: Is there sufficient parking? This is especially important if there is
more than one event.
Beauty of the Hall: The facility will be the backdrop for your wedding video and
many photos. Be choosy, decor is important. Examine the condition of the carpet, walls and
furniture. Are the bathrooms really clean, will there be a private suite for the bride? What will the
outside area around the facility look like if you are taking outdoor pictures and video?
Acoustical Wall: Does it really work or will you hear the DJ or Band in the room
next door.

Policies Deposit Requirement: Inquire if the deposit is applied
to the bill or is it room rent and is it refundable? Ask about cancellation fee.
How long do you have the facility? How many hours will you have for the
reception? If you get married at the hall, do you get more time? Can your event be set up the day
before your event if the hall is not occupied? How long do you have to pack your belongings and
vacate the Hall after the event is over? Bringing in your food and drink: This will
depend on each hall. Guarantee of package prices: A signed contract will
guarantee your prices with the exception of challenges to the food industry such as imperfect meat
supply.

Are there restrictions with the decorations you want to use?

Key staff availability
On your wedding day will you be provided with coordinators to ensure the schedules take place in a
timely manner? If you are having your ceremony at the hall, will a ceremony coordinator be provided? Is
there a cost for the coordination?

Shared Staff and Section Sizes
If more than one event is scheduled for the hall on the same day as your event, will the staff be
working at both events or will you have a staff exclusive to your hall only? How many guests
will one staff member serve that evening? Depending on the table size, in a perfect
world...two tables per server would be a good ratio. The more guests in a section - the slower the
service.
When you finish your appointment with the event coordinator, ask yourself did they answer all
your question. Did they appear to present their hall or venue and its information in a professional
manner? Were they enthusiastic of the potential opportunity of hosting your wedding reception?
